About the Assistant

We are very excited to announce our second AI-driven feature this year – our "employee assistant" – fully accessible from inside of Slack.

The intent behind this feature comes from customer demand, and specifically, from all the people operations folks out there who are spending too much time answering basic questions from employees about information that can be easily found in published company documents (such as handbooks, policy/benefits documents, and others).

Generative AI can provide a huge helping hand here. Trained on documents that you provide it, CultureBot can now give you and your people ops team more time back in the week by becoming the front line agent answering questions employees have about this sort of information. So.... how does it work?

How the Assistant Works

To setup the assistant, visit the CultureBot app inside of Slack and click "Employee Assistant" from the features selection dropdown. From here,  you can click 'train assistant' to then begin uploading the documents you'd like to train the bot on (to respond to employee questions). Please note that all documents are securely stored and encrypted, can be fully deleted without delay from our servers at any time, and are not saved on third-party LLM provider servers.  

Click 'employee assistant' from the features dropdown shown above, and click 'train assistant'

From here, you will be taken to the CultureBot web portal where you can begin to upload any documents (PDF format only to begin with) that you want the bot to be trained up on. When an employee asks the bot a question, it will only have access to the knowledge you provide it.

To train the bot on answering employee questions, you can upload any information you want it to know via PDFs. 

How do Employees use it?

When employees want to ask HR a question (for example, something related to policies/benefits/handbook information) – they can simply visit CultureBot and at the top of the app in Slack they will see a button to 'ask question'. They can also download any documents/policies you've uploaded to the bot below this section where it says 'available company documents' below.

What an employee sees when they click on CultureBot – they can easily 'ask a question' about anything you've trained the bot on (uploaded via PDF in the step above). 

An example message is shown below – here we've uploaded a handbook and the bot easily understand the question the employee is asking, returning helpful information and saving you and your people operations person valuable time in their day. If the bot does not know the answer because it cannot locate an answer via the documents it has been trained on, it will let the employee know to reach out to the HR/People team and/or CultureBot admins.

Other Updates This Month...

AI Survey Analysis

Now you can see an instant overview of the key points and takeaways on your survey responses. Just click on the 'surveys' section of the CultureBot web portal (you can arrive here from inside the CultureBot Slack app) and then navigate to 'campaigns' – from here, just click the new green button in the top right and you will see your instant results!

Click the 'View AI Analysis' button to get your instant results.

Sending Custom Celebrations as a Person  

Now (similar to birthdays and work anniversaries) you can send custom celebration as a person (instead of as CultureBot). To take advantage of this, just edit any existing celebration (or add a new one) and scroll to the bottom of the modal that appears.

Check the box to "send message as the main CultureBot admin" instead of as CultureBot itself.

Add Title and Department as Variables When Adding New Hires

For those using employee experiences, we have an exciting update to the way you can utilize it to onboard new hires. Now, you are able to add in employee titles and departments – this enables you to use these variables when creating employee experience message sequences to go out to these new hires.

Click 'experiences' from the newly designed web portal > 'buddy pairings' > 'add pairing' and you will see where you can add an employee's title and/or department to utilize inside an existing or new experience (sequence of messages). 

Survey Completion Time Reporting

When sending surveys using CultureBot, any responses you receive will not "automagically" collect the amount of time to took for the employee to complete the survey.

'Time to Submit' is a new field on all standard survey responses.

Point Incentives for Users Who've Met (w/Intros)

Want to incentivize your employees to meet with each other using employee intro pairings? Well... now you can. Just visit the shoutouts section of CultureBot and click 'set intro reward' – whatever value you add here is the amount of points that will be given to employees when they have officially met (CultureBot knows when employees have met as we ask them if they've met between pairings using a short direct message). They can then use these with your peer rewards/gift catalog.

Set a points value to award employees who have officially met with each other. These can be used by employees for peer rewards/gifts.

Trivia Global Leaderboard

Trivia is a great way to engage your team in an informal way, but now we're taking it up a notch with a 'global leaderboard' – this leaderboard accumulates over time, which means even if you don't win the trivia contest today, you still have a chance to win over a longer period of time!

New trivia instances have the 'running leaderboard' on by default.

Water Cooler - Custom Question Packs

Water cooler now gives you the option to create customizable "packs" of questions (similar to trivia) which enables you to pick and choose which water cooler instances use which packs. To date, you've only been able to create a single list of custom water cooler questions, but with packs, you are able to segment questions more logically based on theme/content, and then target where the questions go more effectively. For example, you might create a custom pack for 'favorite summer hobbies' that only gets sent to your #summer-memories social channel.

To create a custom water cooler pack, just 'view/add prompt packs' at the bottom of the water cooler section of the CultureBot home page, then click on the 'add water cooler pack' button to get started.
Once you've added your custom packs, you're now ready to use them in new or existing water cooler instances. Click on an instance, and then select which custom pack(s) to use fomr the 'select topics for water cooler' drop down. 

New Conversation Starters Default Text on Custom Celebrations

A small one, but a good one – now, custom celebration templates (shown below near the top) have default conversation starters as a part of the message (appropriate for the day, and for work, of course) – this is meant to make these days more meaningful/actionable to them and your overall team.

If using custom celebration templates, they now have default messages that include a short conversation starter to get your team talking about what makes this specific day meaningful/actionable to them.
