
“What holidays are we off this year?” “Where do I find my paystub?” “How do I ask IT for a new laptop?” If you work in People Ops, you’ve likely answered all three this month, and maybe more than once.
I’ve built more than a few employee handbooks, and I know how much love and care goes into them. Legal has reviewed every detail, and almost every answer an employee could need is in there somewhere. But when someone needs one quick answer, they rarely open a long PDF to find it. They send a Slack message to the person they know will help, and (if you’ve found this article) that person is usually you.

The most frequently repeated questions may seem small on the surface, but each one connects to something bigger in an employee’s life. A day is a long time to wait when you’re trying to book a flight around a holiday, or trying to get paperwork together for a loan, or your laptop has completely stopped turning on. Quick, clear answers in those moments are part of how people feel supported at work.

Good to know: The assistant does best with company-wide questions about holidays, policies, benefits, and how-to steps. Personal details, like “what’s my PTO balance?”, still live in your HRIS, and the assistant can direct employees to that tool.
5 ways to use an AI HR assistant in Slack
Each of these starts with a document you probably already have.
1. Everyday policy questions

Add an FAQ page to your policy book
Your policy book has to cover everything legal needs. An FAQ page only has to answer what people ask most, in the words they use. Adding one gives the assistant clear, direct answers to work from, and gives employees a page they can skim.
• Write each question the way an employee would ask it.
• Keep each answer to two or three sentences, and point to the full policy for the details.
• Include the questions people hesitate to ask, like taking time off for a holiday the company doesn’t close for.
• Refresh it once a quarter or twice a year. Check the topics employees asked about most, add a few new answers, and upload the new edition.
