Best Practices For DEI Workplace Celebrations

DEI Workplace Celebrations can be tricky overall, and getting people to engage can be challenging. These are some tips and best practices to get DEI Celebrations done right.

Use Slack/Teams Integrations To Automate Your Calendar

Don’t keep the above paper calendar posted in your workspace all year and then scramble around each holiday to mark the moment. There are tons of Slack and MS Team tools (like CultureBot) to automate reminder for DEI observances, or to post about the observances directly. DEI observances. These tools can also prompt team members (like “champions”) to participate in the celebrations and ensure no important event is overlooked.

Designate A Culture Champion

It is beneficial to appoint specific team members to take on the important role of organizing and leading celebrations within the organization. These champions will be tasked with coordinating various activities that help recognize and honor significant events or achievements. Additionally, they will gather all relevant information needed to make these celebrations meaningful and enjoyable for everyone involved. Their role also includes ensuring that all celebrations are inclusive, respectful, and reflective of the diverse backgrounds and preferences of the team members, fostering an environment where everyone feels valued and appreciated.

Ensure Inclusivity

Inclusivity is paramount when planning custom workplace celebrations. Consider the following guidelines to ensure that all team members feel valued and included:

  • Cultural Sensitivity: Be mindful of cultural differences and sensitivities when planning celebrations. Avoid assumptions about how individuals may choose to observe certain events and provide options for those who may not wish to participate.
  • Accommodating Preferences: Recognize that team members may have different preferences for celebrating milestones. Provide options for public or private recognition, and be respectful of those who prefer low-key celebrations.
  • Feedback Loop: Establish a feedback mechanism to gather input from team members on how celebrations can be improved. This feedback can guide future planning and ensure that celebrations remain relevant and meaningful.

Avoid Key Pitfalls

While creating DEI observances in tools like Slack or MS Teams can offer many benefits, leaders must be aware of and avoid some key pitfalls.

  1. Over-reliance on digital communication: We love Slack and MS Teams and we love digital communication tools. They are really powerful. But don’t let it completely eclipse face-to-face or video conferencing interactions. Especially when it comes to DEI observances, which can present many sensitivities, consider how to complement digital communication with live communication to ensure the recognition is authentic and meaningful.
  2. Exclusivity Concerns: Be vigilant about the risk of excluding team members who may not be active on Slack or who work in different time zones. Make accommodations to ensure that everyone can participate and feel included.
  3. Tokenism / “Carewashing”: I just love this HBR article about How Carewashing Alienates Employees. In this same vein, avoid the trap of tokenism or carewashing by ensuring that DEI celebrations are genuine and meaningful. Celebrations should reflect a commitment of diversity and inclusion beyond symbolic gestures.
  4. Privacy, Personal Data, and Compliance: Remember that people’s ethnicity, sexual orientation, language, and all similar information are personal data and are subject to complex privacy laws.
